When does custom software make more sense than an off-the-shelf product?
When the ready-made tool forces you to change a process that works, when you pay for many features you never use, or when the manual work around the system takes longer than the work itself. If none of that applies, an off-the-shelf product is the sensible choice and I will say so.
Can it connect to the software we already use?
In most cases, yes. If the existing system has an API or allows data export, the integration is straightforward. Closed systems have workarounds, but those are assessed before the project starts, not midway through.
Who owns the code once the project is done?
You do. Code and documentation are handed over, with no lock-in to a single supplier.
